Assignment Notifications Are Not Received as Expected

1     Overview

This document describes technical issue regarding a user not receiving assignment notifications from M-Files Server.

2     Impacted Products and Versions

All supported versions of M-Files.

3     Symptoms

When sending an assignment notification (because it sends as the creator of the assignment, not the Send From account settings in SMTP) and a 554 "client does not have permission to send as this sender" error appears, the cause is the SMTP server does not allow "send on behalf of" setup properly. Also, it can be any series of 550 or 55x errors reported in the Event Viewer logs.

4     Cause and Reason

The cause for this is that by default, email servers do not allow to "send on behalf of" a user in order to lock down false impersonation. Assignment notifications are by default generated as the actual user creating the notification, not the general SMTP settings of the M-Files Server.

5     Solution / Workaround

There are few options here.

  1. Configure the mailbox to allow the "send on behalf of" all other mailboxes (all users) so that all users can send on behalf of each other.
  2. You can use a 3rd party SMTP relay. The most common we've seen customers use is Hmail. All emails go through Hmail then out to the mail server.
  3. If you want to change this behavior, there is a server registry key:


Registry Key: HKEY_LOCAL_MACHINE\SOFTWARE\Motive\M-Files\<version>\Server\MFServer

Value name: NewAssignmentSenderFromSettings

Value type: REG_DWORD (DWORD 32-bit Value)

Value data:

1 = Sender (from) address for "New assignment" notification is taken from Notification Settings (M-Files Admin Server Management).

0 (default) = Sender (from) address for "New assignment" notification is taken from assignment owner


**A server reboot will be required for this setting to take effect.**
