M-Files and Custom Keyboard Shortcuts

1     Overview

M-Files has built-in shortcuts that are listed in the user guide here: Keyboard Shortcuts in M-Files Desktop. It is not possible to customize these shortcuts in M-Files, but you can set your own shortcuts in Windows 10 and add M-Files URL properties to them. This article explains how to create the shortcut and add these URL properties.

2     Solution

Windows 10 allows you to create custom shortcuts with keyboard setting for any program or URL. M-Files URL commands can used in conjunction with the shortcuts, so this opens opportunities to speed up M-Files usage with often-used commands. In this example I create a shortcut to create a new Contact Person in my test vault:

  • Right click on Windows desktop, choose New->Shortcut
  • For location of the item, I set this URL: m-files://newobject/1822F2CD-7522-40B6-BA2C-4142BEB5BD69/105. This is to create a new object of a certain type with the vault GUID, as explained in the URL Properties guide above. You can find out your vault GUID in M-Files Admin by right-clicking the vault name and choosing "Properties"
  • Click "Next"
  • Give shortcut a name (in my case "New M-Files Contact Person") and choose Finish.
  • Right-click on the newly created shortcut and choose "Properties"
  • Click on "Shortcut Key"
  • Press the key you want to assign keyboard shortcut to, in my case CTRL+ALT+C
  • Click OK

Shortcut properties

The keyboard shortcut will work even if M-Files Desktop is not running yet. Keyboard shortcuts can be distributed via Group Policy preferences, so it is possible to set keyboard shortcuts to the whole organization. This guide explains on how to achieve this:
